How to Make a Booking
All CharcuArt bookings begin with an enquiry. To request a booking, please complete the contact form on our website or reach us directly by email at hello@charcuart.co.uk.
When making an enquiry, please include the following information where possible:
- The type of experience you are interested in
- Your preferred event date and time
- Estimated number of guests
- The event venue address or postcode
- Whether the event will be indoors or outdoors
- Any add-ons you are interested in (charcuterie, cocktails, gazebo)
- Any dietary requirements or accessibility needs
We will respond to all enquiries within 2 business days to discuss your requirements, confirm availability, and provide a full price breakdown.
Confirming Your Booking
Once we have discussed your event and agreed on the details, we will send you a Stripe payment link to pay your deposit. Your booking is confirmed when:
- The deposit payment has been successfully received by CharcuArt, and
- You have received a written booking confirmation from us by email
The booking confirmation email will include your event date, time, experience type, venue, agreed price breakdown, and the balance due date.
Please check your confirmation carefully and notify us within 48 hours if any details are incorrect.
Deposits & Payments
A non-refundable deposit of £50 is required to secure all paid bookings (Children's Craft Parties, Sip & Paint / Adult Sessions, and Corporate Team Building). This deposit is deducted from your total event cost.
All payments are processed securely via Stripe. We will send you a payment link by email — you can pay using any major debit or credit card. You do not need a Stripe account to pay.
The outstanding balance is due no later than 7 days before your event date. We will send you a final Stripe payment link with the balance amount once your guest numbers are confirmed. If the balance is not received by the due date, CharcuArt reserves the right to treat the booking as cancelled and the deposit will be forfeited.
Add-Ons
The following optional add-ons are available for events:
- Charcuterie experience — £15 per person (meats, cheeses, fruit, dips, bread & full table styling)
- Bottomless cocktails — £15 per person (90 minutes, themed setup)
- Outdoor gazebo — £150 flat fee (weather protection & stylish outdoor presentation)
Add-ons must be confirmed at least 7 days before your event to allow sufficient time for sourcing and preparation. Add-on costs will be included in your final balance invoice.
Dietary options are available for the charcuterie experience: Halal, Vegan, Meat-free and No Pork. Please confirm requirements when agreeing your add-ons.
CharcuArt holds a Personal Alcohol Licence. The bottomless cocktails add-on is operated under this licence and is only available to guests aged 18 and over. We reserve the right to refuse service of alcohol to any guest who appears intoxicated or who cannot provide proof of age when requested.
Your Responsibilities as the Booking Client
As the person making the booking, you are responsible for the following:
- Accurate information: Ensuring that all details provided at the time of booking (guest numbers, venue address, dietary requirements, add-ons) are accurate and up to date. Please notify us of any changes as soon as possible.
- Guest numbers: Confirming your final guest count no later than 7 days before the event. This is required to finalise your balance and prepare the correct quantities of materials, food, and supplies.
- Venue access: Ensuring we have adequate access to the venue for setup and tidy-up. Please allow at least 45 minutes before the event start time for setup and 45 minutes after for tidy-up.
- Suitable space: Ensuring the venue has adequate space and, where applicable, appropriate surfaces for the activity. We will advise on space requirements during the booking discussion.
- Supervision of children: Where children are participating, ensuring that a sufficient number of responsible adults are present throughout the event. CharcuArt staff will lead the activity but are not responsible for the general supervision or behaviour of children outside of the guided session.
- Communication: Keeping us informed of any changes or concerns before the event day.
Venue & Setup
CharcuArt events are mobile — we come to your chosen venue and handle all setup and tidy-up. We ask that the venue is ready for us on arrival and that a clear, accessible space is available.
For outdoor events, please ensure there is a suitable flat area available. If you have selected the outdoor gazebo add-on, we will require sufficient space to erect it safely. We will confirm space requirements with you before the event.
CharcuArt cannot be held responsible for delays or difficulties caused by inadequate venue access, insufficient space, or conditions that make it unsafe to proceed with the event as planned. In such circumstances, we will work with you to find a reasonable solution where possible.
Property & Damage
CharcuArt will bring all necessary equipment, materials, craft supplies, and props required for your event. All items remain the property of CharcuArt CIC at all times unless explicitly stated otherwise.
We ask that all guests treat our equipment and materials with reasonable care. In the event of damage to CharcuArt property caused by a guest, the booking client accepts responsibility for the reasonable cost of repair or replacement. We will always discuss any such issue with you fairly and transparently before any charge is raised.
Similarly, CharcuArt staff will take all reasonable care when working at your venue. We carry out all activities with care and professionalism and will not be held responsible for pre-existing damage or damage caused by circumstances outside our control.
- Craft materials such as paint, glue, and dye are used during sessions. We recommend protecting surfaces and flooring where necessary. We carry disposable protective coverings but cannot guarantee against all spillage in a live, creative environment.
- Food and drink provided as part of charcuterie or cocktail add-ons should be consumed responsibly. CharcuArt is not liable for spillage or staining caused by guests after items have been served.
- Any CharcuArt equipment that is lost, stolen, or deliberately damaged at your event will be charged to the booking client at replacement cost.
Conduct & Mutual Respect
CharcuArt is committed to creating a welcoming, inclusive and enjoyable experience for every client and guest. We treat every person we work with with dignity, respect and professionalism and we respectfully ask that this is extended to us and to all members of our team in return.
We believe that everyone — clients, guests and CharcuArt staff — deserves to feel safe and respected throughout every event. The following standards apply to all CharcuArt bookings:
- Respectful communication: We ask that all communication with CharcuArt staff — whether before, during, or after an event — is conducted in a respectful and courteous manner.
- Zero tolerance for abuse: CharcuArt operates a strict zero-tolerance policy towards any form of verbal abuse, threatening behaviour, discrimination, harassment, or intimidation directed at any member of our team or at other guests. This applies at all stages — including by phone, email, and social media.
- Immediate cancellation: Should any guest or booking client engage in abusive, threatening, or discriminatory behaviour during an event, CharcuArt reserves the right to immediately cease the event and leave the venue. In such circumstances, no refund will be issued.
- Inclusive environment: All guests are expected to behave in a way that is inclusive and respectful of others regardless of age, background, disability, gender, ethnicity, religion, or any other characteristic. Behaviour that makes others feel unwelcome or unsafe will not be tolerated.
- Alcohol and behaviour: Where the cocktail add-on is included, guests are expected to drink responsibly. CharcuArt staff reserve the right to withdraw alcohol service from any guest whose behaviour becomes disruptive as a result of alcohol consumption. If the event cannot safely continue, CharcuArt reserves the right to cease the event in full.
Safeguarding
The safety and welfare of all participants — particularly children and vulnerable adults — is of the highest importance to CharcuArt.
- All CharcuArt staff are DBS checked and safeguarding trained.
- Where children are participating, CharcuArt staff will at all times operate within our safeguarding guidelines. We will not be left alone with any child without a responsible adult present.
- Any safeguarding concerns arising during an event will be handled in accordance with our safeguarding policy and reported to the appropriate authorities where required.
- For Inclusive Creative Workshop sessions, our team is experienced in working with young people with additional needs and older adults. Sessions are tailored to the group and delivered in a fully supportive environment.

Our Responsibilities to You
CharcuArt is committed to delivering a high-quality, professional experience at every event. You can expect the following from us:
- Prompt and clear communication before and after your event
- Punctual arrival with all necessary equipment and materials
- A fully guided, engaging creative session delivered by experienced staff
- Full setup and tidy-up included as standard
- A welcoming, inclusive atmosphere for all guests
- Compliance with all relevant licensing, food hygiene, and safeguarding requirements
- Fair, transparent handling of any issues or concerns that arise
If for any reason we are unable to meet these commitments, we will notify you as soon as possible and work with you to find a suitable resolution.
Liability
CharcuArt CIC takes all reasonable steps to ensure the safety and wellbeing of all participants during our events. However, participation in creative activities involves a degree of personal responsibility.
- CharcuArt is not liable for personal injury sustained during an event unless directly caused by the negligence of CharcuArt staff.
- CharcuArt is not liable for loss, theft, or damage to personal belongings brought to an event by guests.
- CharcuArt is not liable for any indirect or consequential losses arising from the cancellation, postponement, or modification of an event.
- Nothing in this policy excludes or limits CharcuArt's liability for death or personal injury caused by our negligence, or for any other liability that cannot be excluded by law.
Changes to This Policy
CharcuArt reserves the right to update this Booking Policy from time to time. The version published on our website at the time of your booking enquiry is the version that applies to your booking. We will notify clients with confirmed upcoming bookings of any material changes by email.
