Cancellation & Refund Policy

Charcuart CIC Effective: June 2026 Version 2.0
This policy sets out the terms that apply when a booking is cancelled or rescheduled by either a client or by Charcuart CIC. By paying a deposit to confirm your booking, you agree to these terms. Please read them carefully before proceeding. For information about how bookings are made and confirmed, please refer to our Booking Policy.

The Deposit

A non-refundable deposit of £50 is required to confirm all paid bookings (Children's Craft Parties, Sip & Paint / Adult Sessions, and Corporate Team Building sessions). We will send you a Stripe payment link to pay this deposit following your booking discussion.

Your booking is only confirmed once the deposit has been received and you have received a written confirmation from us. Until that point, your chosen date remains available to other clients.

Please note: The £50 deposit is non-refundable under all circumstances except cancellation by CharcuArt (see Section 4). This reflects the planning, preparation, and scheduling commitments made from the moment your booking is confirmed.

Cancellation by the Client

If you need to cancel your booking, please notify us in writing as soon as possible (see Section 8). The following refund terms apply to any balance already paid, based on how much notice is given before the event date:

Notice periods are calculated from the date and time we receive your written cancellation request, not from when it was sent.

Exceptional circumstances: We understand that life can be unpredictable. If you are facing serious and unforeseen circumstances — such as a medical emergency or bereavement — please contact us as soon as possible. While we cannot guarantee exceptions to this policy, we will always respond with understanding and consider each situation on its individual merits.

Rescheduling by the Client

We are happy to accommodate one rescheduling request per booking at no additional charge, subject to the following conditions:

  • The rescheduling request is received in writing at least 14 days before the original event date.
  • A suitable alternative date is available within 6 months of the original booking date.
  • Your existing £50 deposit will be transferred to the new date.

Rescheduling requests received with fewer than 14 days' notice will be treated as a cancellation, and the refund terms in Section 2 will apply. A second rescheduling request will require a new £50 deposit.

Cancellation by CharcuArt

In the unlikely event that CharcuArt needs to cancel your booking — for example due to illness, an emergency, or circumstances beyond our control — we will contact you as soon as possible and offer:

  • A full rescheduling of your event at no additional cost, or
  • A full refund of all amounts paid, including the deposit.
Force majeure: CharcuArt will not be held liable for cancellations caused by events entirely beyond our reasonable control, including but not limited to extreme weather, national emergencies, government restrictions, or significant travel disruption. In such cases we will offer rescheduling wherever possible. Where rescheduling is not possible, a full refund of all amounts paid will be issued.

Balance Payments

Your outstanding balance — the total cost of your event minus the £50 deposit — is due no later than 7 days before your event date. We will send you a Stripe payment link for the exact balance amount once your final guest numbers are confirmed.

If the balance is not received by the due date, CharcuArt reserves the right to treat the booking as cancelled. In this case the deposit will be forfeited and no event will take place.

Add-on costs (charcuterie, cocktails, gazebo) will be included in your balance invoice once confirmed.

Add-On Cancellations

Add-ons may be cancelled or reduced subject to the following notice periods:

Notice given before event Add-on refund (if already paid)
More than 14 days Full refund of add-on cost
7–14 days 50% refund of add-on cost
Less than 7 days No refund — costs already committed

Increases to add-on quantities are welcome at any time subject to availability. Reductions are subject to the notice periods above.

Inclusive Creative Workshop Sessions

Inclusive Creative Workshops are offered on a means-tested basis with no participation fee, so standard deposit and refund terms do not apply.

However, we ask that you notify us as soon as possible if you need to cancel or reduce your group size. Cancellations with fewer than 48 hours' notice may affect our ability to prioritise rescheduling for your group, as staffing and materials will already have been arranged.

How to Cancel or Reschedule

All cancellation and rescheduling requests must be submitted in writing by email:

  • Email: hello@charcuart.co.uk — please include your name, event date, and a brief description of your request

We will acknowledge your request within 2 business days and confirm the applicable outcome in writing.

Important: Verbal cancellations — by phone, in person, or via social media — are not accepted. The notice period begins only from the date and time your written email is received and acknowledged by CharcuArt CIC. We strongly recommend requesting a read receipt or following up if you do not hear from us within 2 business days.

Refund Processing

Where a refund is due, it will be returned to the original payment method (via Stripe) within 5–10 business days of your cancellation being confirmed in writing by CharcuArt.

The time for a refund to appear in your account will depend on your card issuer or bank, but is typically 3–5 business days once processed by Stripe.

Refund not received? If you have not received your refund within 10 business days of our written confirmation, please email us at hello@charcuart.co.uk and we will investigate with Stripe on your behalf.

Changes to this policy: We may update this policy from time to time. The version published on our website at the time your deposit is paid is the version that applies to your booking. Clients with confirmed upcoming bookings will be notified of any material changes by email.
